  4. 4. Assign field executives
  5. 5. Start tracking progress

Prerequisites:

  • • Admin or Manager role required
  • • Organization setup completed
  • • Form templates created
  • • Field executives added

Creating a Lifecycle Template

How to Create a New Lifecycle

  1. 1

    Navigate to Project Lifecycle Management

Go to Projects → Lifecycle Templates in the main menu

  2. 2

    Click "Create New Lifecycle"

Choose between predefined templates or create from scratch

  3. 3

    Define Basic Information

Enter lifecycle name, description, and select project type

  4. 4

    Add and Configure Stages

Create stages, set durations, assign form templates, and configure approval workflows

  5. 5

    Save and Activate

Review your lifecycle and activate it for use in projects

Important Notes

  • • Lifecycle templates can be reused across multiple projects
  • • Each project gets its own copy of the lifecycle for customization
  • • Changes to templates don't affect existing projects
  • • Stages can be reordered by dragging and dropping

Managing Sites

How to Add Sites to a Project

  1. 1

    Open Your Project

Navigate to Projects → Select your project → Sites tab

  2. 2

    Click "Add Site"

Fill in site details including name, mobile, Aadhaar, and location

  3. 3

    Assign Field Executive

Select a field executive who will be responsible for this site

  4. 4

    Verify Information

Double-check all details before saving the site

Bulk Import Sites

For large projects, you can import multiple sites at once using Excel files.

Step 1: Download the Excel template from the "Import Sites" section

Step 2: Fill in site data following the template format

Step 3: Upload the completed Excel file

Step 4: Review and confirm the import

Important: Site Lifecycle

  • • Each site automatically inherits the project's lifecycle stages
  • • Individual stage instances are created for each site
  • • Progress is tracked separately for each site
  • • Field executives can only see sites assigned to them

Best Practices

Project Lifecycle Management Tips

Getting Started

  • • Start with predefined templates rather than creating from scratch
  • • Test your lifecycle with a small pilot project first
  • • Ensure all team members understand the workflow
  • • Set up proper user roles and permissions

Ongoing Management

  • • Regularly review and update lifecycle stages
  • • Monitor progress and address bottlenecks quickly
  • • Keep form templates simple and user-friendly
  • • Train field executives on mobile app usage

Common Mistakes to Avoid

Creating too many stages: Keep lifecycles simple with 4-8 stages maximum

Not testing forms: Always test form templates before assigning to stages

Poor field executive training: Ensure field teams understand the mobile interface

Ignoring progress monitoring: Set up regular progress review meetings
